Situation 1
A finance company approached us to help manage their annual APAC summit. The summit took place in three locations: Beijing, Hong Kong, and Taipei. All three summits occurred within a week. There is approximately one month remaining until the summit opens.
1. Solution
Once the venues were selected, we initiated communication with the venues to arrange setting, production, catering selection, as well as the move-in and move-out processes. Additionally, we handled all aspects of event design, including but not limited to the event theme, backdrop, signage, and program book. Furthermore, we managed the registration and check-in process, gift bag selections and production, as well as prop production. Lastly, our responsibilities extended to onsite management, overseeing the complete meeting schedule and speaking sessions, managing production, and handling guest relations.
2. Result
We successfully fulfilled the client’s requests and met their expectations. The client recognized our team’s enthusiasm for embracing challenges, and as a result, we have been invited to manage their next summit. Since the client changes the summit’s location every year, we manage and produce another summit in Beijing, Hong Kong, and Tokyo. Once again, all three summits will be held within a week.

Situation 2
A global association in the US is planning to hold their first APAC conference in South Korea. While they have a full committee of members, none of them are suitable for managing the event, so they are seeking help. They require comprehensive services from start to finish, covering everything from 0 to 100.
1. Solution:
We offered comprehensive support for the conference and meetings, starting with venue negotiation. We assisted our client in estimating and managing the entire event budget. Additionally, we handled accommodations, visa applications, registrations, merchandise bookings, and provided consultation on production aspects. The most challenging part was the visa application process for members from Africa, as it does not guarantee 100% success.
2. Result
The conference successfully invited members from all around the world, including the US, EMEA, Africa, and APAC. The association is considering holding future conferences in the APAC region.

Situation 3
A global company based in the US has an assigned meeting planner who is unable to travel, and they are seeking a management team to travel for their meetings in the Asia Region. The attendees are required to adhere to the company’s travel policies when attending the meetings. They need a management team to handle their air and local transportation, as well as the on-site meeting arrangements.
1. Solution:
We have established a team called the “Travel Director” who are experts in on-site management and travel logistics. They are ready to travel anywhere to manage all the meetings.
2. Result:
The client is extremely pleased with our team, as they are able to work autonomously and prevent problems from occurring. Any ad-hoc issues or changes can be resolved within a short period of time.

Situation 1
The client would like to hold a Press Conference in Singapore within 2 weeks. They are focusing on media invitations and content but do not have enough time and manpower to handle all logistics.
1. Solution
We provide a team to support all venue negotiation, logistics, and operations. As the press conference is promoting their campaign, we also provide theme design and handle all event production.
2. Result
The process went smoothly, and the client was satisfied with all the services provided. We continue to assist this client with event planning and management for their seminars throughout Asia.

Situation 2
We were handling the event planning and management for the client’s seminar in Shanghai, and the client added a networking dinner to the program. The venue and settings are all ready, but the client is solely focused on the seminar and does not have time to discuss the program and contents of the networking dinner. The client has their own ideas and prefers not to receive alternative proposals.
1. Solution:
We persistently pursued the client’s ideas in order to prepare the contents and rundown, and we finally received the information from the client 5 hours before the networking dinner started. One team went out to purchase all the props needed for the dinner, another team worked with the production team on the rundown, discussing background music, lighting, etc., and another team liaised with the venue regarding all updated settings and food and beverage arrangements.
2. Result
We successfully organized the networking dinner without making any changes to the client’s requests. Guests enjoyed the dinner in a lively atmosphere.

Situation 3
The client would like to hold a shop opening ceremony in Hong Kong, which is not limited to speeches and ribbon-cutting; they also want to have a parade along the street.
1. Solution:
We assist the client in checking all the licenses required for the parade in public areas and maintain communication with different government departments and property management around that area to ensure a smooth parade. Additionally, crisis management is a crucial aspect of the parade, given that it is an outdoor event.
2. Result:
The parade ran smoothly, and the crowds were well-behaved. The opening ceremony captured joyful moments.

Situation 4
A client has brought a Japanese artist to Hong Kong and would like to hold a small fan meeting with more interaction between the artist and the fans.
1. Solution:
We selected a venue with experience in handling artist and fan meetings to ensure privacy. Additionally, we curated interactive games for the fan meeting. On the event date, we managed all logistics and operations.
2. Result:
Fans expressed happiness with the smooth registration arrangement and the interaction session with the artist. The client is satisfied with the event’s content and management.
